Data Exchange Update #1 - June 2024

End of Reporting Period

The end of the January to June 2024 reporting period is coming up fast. We would like to encourage all users to make sure your data is entered into the Data Exchange as soon as possible to avoid any last minute issues that might occur when uploading your data.

If your data has not been submitted into the data exchange before 30 July 2024 you will have missed the cut-off date and will not be able to enter the data in at a later stage. The data will not count towards your deliverables, and your organisation and the department will miss out on this valuable information.

If you are experiencing issues entering data into the Data Exchange, please contact your funding arrangement manager and the Data Exchange Helpdesk, who will be more than happy to provide you with assistance.

Collecting group client outcomes and unidentified clients

Did you know that you can report Community Outcomes in the Data Exchange?

Community outcomes are achieved in different ways and progressively over different periods. They range from immediate short-term outcomes to longer-term changes that positively affect the circumstances of a community.

Community SCORE reporting allows organisation to report outcomes of larger group events when it would otherwise be difficult to capture individual client outcomes.

To record a Community SCORE, organisations need to record a rating between 1 and 5 against a relevant domain.

Data Exchange Planned Maintenance

The Data Exchange system will be unavailable from 8.00pm on Saturday, 15 June 2024 to 8:00am Sunday, 16 June 2024. Users will not be able to access or upload data into the Data Exchange during this time.

January - June 2024 Reporting Period Ends

There are now 4 days left in the current reporting period. On 1 July 2024, the additional 30-period begins.

During this time, we ask that you submit your outstanding service delivery information and use the DEX Reports to QA your data and correct any errors.

Please note: the DEX Helpdesk becomes extremely busy during this time so allow plenty of time if you require their assistance.

Organisations using Bulk File Uploads

If you are submitting data via the Bulk Upload function, it is important to check that your files were successful to ensure that you submit complete data sets.

To check this, go to the page ‘View uploaded files’ in the Data Exchange Web Portal. This page displays the list of all the files uploaded by the organisation. Check the status row of the table for any files that have the status: ‘Failed’. Expand the row to download the error file for this submission. 

Click the name of any file to see more information about that file such as upload progress, and a breakdown of total, successful and failed records by entity type.
