Extensions for fire impacted organisations

Communities across Australia continue to be threatened and impacted by elevated fire conditions, ongoing bushfires and other natural disasters.

The department is implementing an extension to the due date for the July to December 2019 Data Exchange reporting period for all organisations delivering services in fire affected areas. These organisations will have until 11:59pm (AEDT) Saturday 29 February 2020 to enter their data for the July to December reporting period. This is a one month extension from the usual deadline of 30 January 2020.

If your organisation is not located within the fire affected areas, however is impacted by the ongoing bushfires or other natural disasters across the country, please contact your Funding Arrangement Manager to discuss an extension. If you are unsure who your Funding Arrangement Manager is, you may call the Community Grants Hub on 1800 020 283.

All other organisations should continue to work towards the normal reporting due date of 30 January 2020. If you need an extension for a different reason, please complete a system re-opening request using the Request to reopen the Data Exchange form.

myGovID now accepted by the Data Exchange

You can now log in to the Data Exchange using myGovID, a new and easy way to access government online services.

Your organisation should have an eligible associate recorded in the Australian Business Register (ABR), the person responsible for the business (i.e. a trustee, director public officer, partner or office bearer), who will need to link the Data Exchange to your Australian Business Number (ABN) within the Relationship Authorisation Manager (RAM). Once they have established their relationship as a Principal Authority in RAM they can authorise you and other employees to act on behalf of the organisation.

While we recommend you move to myGovID as soon as you can, we understand this will be a busy time for many organisations. Please note your organisation can continue to use AUSkey until its retirement on 31 March 2020. If you are new to the Data Exchange and have not set up your authentication, you can now set up a myGovID rather than AUSkey. Further information about Accessing online services with myGovID.

The myGovID app is available for download now from the Apple App store and Google Play store, and setting up a myGovID for the first time takes minutes. myGovID is scheduled to replace the outgoing AUSkey solution in March 2020.

Reminders for the end of reporting period

If you are uploading via Bulk XML, you may upload up to 10MB of data per file. Uploading regularly throughout the reporting period ensures minimal disruptions and delays.

Any outlets added or edited (excluding an outlet name change) are sent to the Data Exchange Helpdesk for approval. The Data Exchange Helpdesk are actioning all outlet requests working from oldest to newest. The end of reporting means there is a higher number of requests than normal, and all outlets will be actioned in date order. While we aim to action requests within five business days, the significant number of requests at the end of a reporting period may take longer than normal.

Use the reports to check for accuracy

Did you know the reports are updated the day after you submit data to the Data Exchange? This means you can follow the links to the reports from the web-based portal to view your data for accuracy and completeness. Any registered Data Exchange administrators or users can view reports data. There is advice on how to add users if you’d like to have more staff view the reports.
